Prismara ERPTroubleshooting
Troubleshoot Prismara ERP
Find the symptom that matches what you see.
I can't log time to a project
Cause: You are not assigned to the project, the project is closed, or the task doesn’t accept time.
Resolution:
- Ask the project manager to add you under Projects > the project > Team.
- Check the project status is Active.
- Check the task is open for time entry, or choose a different task.
My timesheet is locked
Cause: Submitted and approved timesheets are locked so the time can be billed reliably.
Resolution:
- If the week is Submitted and not yet approved, ask your approver to select Return so you can edit it.
- If the week is Approved, ask your approver or Finance to reopen it. If the time has already been invoiced, Finance will need to issue a credit note first.
Invoice totals look off
Cause: Usually rounding, a different VAT rate on the customer or line, or time logged in decimals that don’t divide evenly at the rate.
Resolution:
- Check the VAT rate on the customer record and on each invoice line.
- Check whether time is shown per person or summarised — summarised lines round once, per-person lines round each line.
- Check for resale items or recharged expenses in a different currency, which are converted at the rate on the invoice date.
- If the draft is wrong, correct the source item and select Refresh lines. If the invoice is already issued, create a credit note.
A quote was converted twice
Cause: Convert to project was selected more than once, creating two projects.
Resolution:
- Decide which project to keep.
- Move any time or expenses from the duplicate to the project you are keeping.
- Close the duplicate project with the reason Created in error.
The currency I need is missing
Cause: Only currencies turned on for your organisation are offered.
Resolution:
- Ask your Prismara ERP administrator to open Settings > Currencies and turn on the currency.
- Set the customer’s Billing currency on the customer record before creating quotes or invoices.
